Creating an Account

Q1: How can I switch the language into English?

Go to the menu page. In the upper right corner, click English. See Ritsu-Mate Manual for further instructions.

Q2: I have created my Ritsu-Mate account, but I have not received any confirmation email. How can I log in to my account?

Please check your spam or junk mail folder. If you still cannot find it, please check your email settings and make sure that messages from "@st.ritsumei.ac.jp" can be received.

Q3: Can I change my registered email address?

No, you cannot change your email address once registered. Please use an E-mail address that is often used and that will not be changed or deleted during the whole application process.

Q4: I have forgotten my passward.

Click Reset Password on Ritsu-Mate Login page, and reset your password using your registered email.

Q5: I cannot log in to my Ritsu-Mate account even though I have entered my correct Account ID and Password. What is wrong?

Ritsu-Mate is not accessible every week from Wednesday 7:30 PM (JST) to Thursday 5:30 AM (JST) for maintenance. If you cannot access the system other than the maintenance period, please contact the International Admissions Office.

Q6: I cannot register my application.

Application Registration is available only from 10:00 AM (JST) on the first day of each application period until 11:00 PM (JST) on the last day of each application period.
Log back into Ritsu-Mate when the Application Period is open to register an application.

NOTE: Ritsu-Mate is not accessible every week from Wednesday 7:30 PM (JST) to Thursday 5:30 AM (JST) for maintenance. If you cannot access the system to register your application other than the maintenance period, please contact the International Admissions Office.

Q7: I do not see the "Register Application Information for Undergraduate Schools" button to proceed with my application registration. 

Application Registration on Ritsu-Mate is available only from 10:00 AM (JST) on the first day of each application period until 11:00 PM (JST) on the last day of each application period. When the application period opens, the button to register your application will appear. Please wait for the application period to open.

Registering an Application (During Application Period)

Q1: What is my high school code?

Enter 52000E for High Schools outside Japan and International Schools in Japan.
For Japanese High Schools (except International Schools), click the search icon, enter the high school name and search (partial match). Retype your high school name and country in English in the following "High School Name" field.

Q2: What is my high school course?

Select Foreign School for High Schools outside Japan and International Schools in Japan.

Q3: I have chosen the wrong Admission Method/College (e.g. AO Admissions instead of Recommendation Admissions).

Please re-register your application using the correct Admission Method/College. If you have paid the Application Fee on the wrong application, you are not required to pay an additional application fee again for the correct application.

Q4: I made some mistakes in my registered information. How can I correct them?

Once you click Register, your information cannot be changed. If you need to make changes after clicking Register, contact the International Admissions Office. 

Q5: I have accidentally registered the same application multiple times. Can I delete the application registration(s) created by mistake?

No, you cannot delete any application registration(s). Please make sure to proceed with your entire application under the correct registration (and leave other wrong registration(s) as they are.)
Take note of each registration number.

Q6: Can I apply to multiple programs?

Yes. See "Applying to Multiple Programs / Times" for further details.

Upload Application Documents

Q1: There is an error when uploading.

  • Files should be either pdf, xlsx, docx, txt, jpeg format.
  • Filenames can contain alphabets, numbers, or ". (period)" , "- (hyphen)", and "_ (underbar)".
    * "(space)" are not allowed.

Q2: I have uploaded documents in the wrong section(s). What should I do?

Please contact the International Admissions Office.
We will remove the document(s) for you, so you can re-upload documents in the correct section(s).

Q3: My Academic Transcript/Graduation Certificate is signed and sealed in an envelope by my school and I cannot upload them as a document. What should I do?

In that case, you do not need to upload them. Please send us the Academic Transcript/ Graduation Certificate directly, as it is (without opening it), via post or courier.

NOTE
*The Original must be submitted (photocopies are not allowed).
*DO NOT USE REGULAR MAIL. To submit from outside Japan, applicants must use traceable EMS or a courier service (DHL, FedEx, OCS, etc.). To submit from Japan, applicants must use registered express mail (簡易書留速達郵便, Kanikakitome Sokutatsu Yubin).

Q4: I cannot upload two or more documents in the section of “Academic Transcripts” (or other sections) on Ritsu-Mate.

If upload two or more documents in one section, combine the documents into one (single) file before uploading (e.g., by scanning all the documents at once / merging the documents into one file).

Q5: The sections of "Application Number," “Examination Number” and “Student ID Number” are blank on the Application Sheet. Did I miss anything in my registration steps?

You can leave those sections blank.

Q6: On the Application Sheet, the information of “Nationality” is missing.

If you possess Japanese Nationality, you can leave this part blank.
If you do not possess Japanese Nationality, you have missed the step of "Register International Student Information." Please go through the step refering to Ritsu-Mate Manual.

Q7: Where can I find Registration Form?

Q8. How do I upload my Application Sheet with a photo? 

You can attach your photo on the application sheet and upload it to Ritsu-Mate using the following:

  • Glue/adhere your photo onto a printed Application Sheet. Scan it then upload it to Ritsu-Mate
  • Insert your photo onto the application sheet digitally and upload it to Ritsu-Mate

Q9: I do not have a scanner. How do I upload documents?

Photos or images of documents are acceptable (pdf or jpeg format). The photo or image MUST be clear and legible that the original document contents can be read. 

Q10: Should I use the Mailing Label from Ritsu-Mate when posting Application Documents?

The Mailing Label is for Graduate (Masters and Ph.D) school applicants only. Please DO NOT use the Mailing Label for Undergraduate applications.
Please write the following address on the envelope of your documents and send it to us by a traceable EMS or a courier service (DHL, FedEx, OCS, etc.).

Q11: I have uploaded all the necessary documents on Ritsu-Mate. I am worried if I completed my application properly because I have not received any confirmation from Ritsumeikan.

Your application is completed if you have successfully;

  • Submitted all required documents and "Status of Submission" on Ritsu-Mate is shown as submitted
  • Posted Letter(s) of Reference (or sent by referees)
  • Paid Application Fee by the application deadline

We will send a confirmation email to each applicant a few weeks after each application is closed. Please wait for our contact. 

Application Fee Payment

Q1: I have paid my Application Fee by wire transfer. However, the Status of Payment still shows as "Unpaid". How can I prove that I have paid my Application Fee?

We will confirm your payment by wire transfer on a separate system. Please upload a copy of the bank remittance receipt, record or form to the "Evidence of Application Fee Payment" section.

Q2: I have accidentally paid the Application Fee multiple times. Can I get a refund?

No, it is not possible to delete any application registration(s). Please make sure to continue your entire application under the correct registration (leave other wrong registration(s) as they are.)
Application Fees are not refundable. Take note of your registration number for each application.

Application Number/Examination Sheet

Q1: Where can I find my Application Number?

You can find your application number on the "Examination Sheet".
The "Examination Sheet" can be downloaded from your Ritsu-Mate Account.
For details, please refer to Ritsu-Mate Manual.

Q2: What is the "Examination Sheet" for?

It indicates an applicant's Application Number after completed processing, which will be used for their result notification.

Q3: How do I get my "Examination Sheet"?

The Sheet can be downloaded from your Ritsu-Mate Account. For details, please refer to Ritsu-Mate Manual.
